Time-saving tricks in PowerPoint

When creating a presentation in PowerPoint, it can often take hours to make minor changes or arrange slides. Choosing the right font, keeping the design consistent – all of these tasks take extra time. However, if you know a few simple tricks, you can get the job done faster and your presentation will be much more attractive and professional.

Use stock library: Visual elements are essential in presentations. To make your slides more attractive, use PowerPoint’s own stock library. It contains a lot of images, icons, illustrations, and videos.

♦ How to do it: From the Insert tab, add the Pictures or Icons option to your slide.

Keyboard shortcuts: The easiest way to save time is to use keyboard shortcuts. If you can master them, your work speed will increase significantly.

♦ Some popular shortcuts: Copy (Ctrl+C), Paste (Ctrl+V), Undo (Ctrl+Z), and Quickly Duplicate (Ctrl+D).

Changing multiple shapes: If you see that the size is not correct after placing different images, icons, or shapes on the slide, do not try to change them one by one.

♦ How to do it: Hold down Shift and click all the objects at once to select them, or drag them into a selection box. Once selected, drag any corner to change them all at once.

Using old slides: Creating slides from scratch takes a lot of time. You can easily use a previously created slide in your new presentation.

♦ How to do it: From the Insert tab, click New Slide and select the ‘Reuse Slides’ option. A panel will appear on the right side, from there you can browse to find the old slide. You can add new slides while keeping the previous design.

Quick Access Toolbar: It takes time to find the tools you need while working. So add frequently used commands to the Quick Access Toolbar.

♦ How to do it: Click the small arrow at the top of the screen and select More Commands. From there, add commands including Save, Undo, and Format Painter.
